YOUR WORKMATE GUIDE

Help & User Manual

Practical steps from business setup to your first customer quote. Use Help inside the workspace to follow along without leaving your job.

Set up your business

Put your own business details and estimating allowances on new jobs.

  1. Open More → Business Profile. Replace any sample details with your business name, ABN, phone, email and website. Add your logo if wanted.
  2. Under Automatic costing assumptions, check the travel base, minimum call-out, labour allowance, vehicle and travel-time rates, supplies, equipment and overheads.
  3. Set the GST option to match your business and check the saved platform fee. Review default quote terms and validity.
  4. Choose Save as my defaults. Start a new job to use your saved defaults.

Before you continue: Saving defaults does not rewrite existing quotes. Check the business details, GST and rates on each job before sending it.

Cleaners Workmate — User Manual

Quick Start and field workspace guide · Updated 15 October 2026

Before-and-after photos and recurring problems

Each saved building program and restaurant has its own private area history.

  1. Open a saved Strata & Building program or restaurant. Choose Before & after or Recurring problems in the site-record links.
  2. Add the area, title, work program and visit date. Take photos on your phone or choose from your gallery; add Before and After images of the same area.
  3. Record who observed or completed the work, what was found and the action taken. Save record and wait for confirmation.
  4. For a recurring issue, reopen the same record and choose Problem returned. Add the new date and evidence; earlier visits remain together. Use Add follow-up for checks that are not a fresh occurrence.
  5. Assign a person and review date. Use Monitoring while checking a result, or Resolved when the final action is recorded. Filter the list by area or status.

Before you continue: Photo records stay private to the owning account. Restaurant routine and professional deep-cleaning records are labelled separately. Links from a deep-clean program prefill its reference. Review dates are recorded here; no reminders are sent automatically.

Manage site chemicals, stock and supplier orders

Building and restaurant managers can keep separate chemical registers for each site.

  1. Open Chemical register from your saved building program or restaurant. Add a product or use Recommended products to start an unreviewed draft.
  2. Enter exact product details, approved surfaces, label dilution, contact time, rinse requirements, PPE, storage and incompatibilities. Link or upload the safety data sheet and label.
  3. Complete the manager review fields after checking the product information for this site. Set stock units, opening stock, reorder level, target stock and pack size. Save.
  4. Reopen the product to add deliveries, usage or a counted stock correction. Saved stock history and units cannot be rewritten; save the product after adding an entry.
  5. Use Chemical orders to build a draft from low-stock products, grouped by supplier. Check any active orders, pack quantities, prices and delivery details before saving.
  6. Open the email draft for review and send it in your own email app, or copy/download the order text. Record confirmation, order date and delivery status. Add actual delivered amounts in product stock histories.

Before you continue: Saving an order does not send it, buy chemicals or charge a card. Marking Received does not automatically add stock. Manufacturer suggestions require a site review and are not dosing instructions or a complete supplier catalogue.

Find kitchen equipment manuals and cleaning procedures

Keep the exact machine model and its manufacturer instructions together.

  1. Open a saved restaurant and choose Equipment & manuals. Add the equipment name, kitchen area, make and exact model from its rating plate.
  2. Optionally enter the manufacturer website to narrow the search. Choose Find manual & cleaning instructions to open a model-specific web search.
  3. Check the result is the correct manufacturer manual, model and revision. Save its link or upload a PDF/manual photo.
  4. Add the cleaning tasks, frequency, step-by-step procedure, approved products, precautions and manual page reference. Record the manual’s isolation, cool-down and disassembly restrictions.
  5. Record the reviewer and review date once the model and procedures have been checked. Save the equipment record and reopen it whenever staff need the manual.

Before you continue: The finder opens a web search; it does not verify or extract a manual automatically. Use the correct manufacturer instructions and retain any supplier or technician guidance needed for that machine.

Create an account and choose your workspace

Start at Get started on the public homepage, or go to /join.

  1. Choose cleaner, customer, building management or restaurant management. Existing users can continue with the same account.
  2. Create an account with your email and password. Confirm your email if prompted, then sign in. You do not need a ChatGPT account.
  3. Customers save their contact details and can post a cleaning request. Cleaners save their business, services and areas for access approval.
  4. Building and restaurant managers submit their name and organisation details in their own section. Registration stays private and appears in Christopher’s Management registrations screen for review.
  5. Return to the same section and choose Check approval status. After approval, open the workspace. Restaurant routines and professional deep-cleaning programs remain separate.

Before you continue: Registration and software access are free during testing. Customers do not need cleaner membership. Cleaner and management workspace access requires approval. Optional contributions and paid training do not affect approval. No approval email is sent automatically.

Connect a restaurant with professional deep cleaners

Keep restaurant staff routines separate from outside contractor programs.

  1. Open Restaurant & Kitchen, save a venue, then choose Professional deep cleaning.
  2. Create a program with the scope, frequency, target date, shutdown access, exclusions and contractor requirements. Save it privately.
  3. Use Review request before posting. Only the displayed scope and your board display name are shared; internal logs, inspections, venue address and private notes are excluded. Register on the cleaner job board as a customer or Both, then publish with the on-screen confirmation.
  4. Open responses to compare quotes and choose a cleaner. Workmate does not verify professional credentials; check relevant experience, insurance and scope before agreeing work. Contact details are shared only after selection.
  5. Reload the saved program to see the chosen cleaner. Record the agreed contractor, date and price. After service, record evidence references and the restaurant review. Completed requires handover confirmation and retains the visit.
  6. Use Plan next visit to create a new draft from a signed-off service. Review the suggested target date and save. Print or download each saved service record separately.

Before you continue: The board is in early access. Check responses on the board; no automatic email notices, bookings, payments or recurring appointments are created. Cancelling the private program does not close the board listing or cancel an agreement with a cleaner. Published scopes are retained; close the listing and start a new program for scope changes.

Manage restaurant cleaning and inspection records

Open Restaurant & Kitchen from its own private restaurant workspace.

  1. Go to /restaurants/workspace and sign in with your approved account. Add a venue, manager and food safety supervisor.
  2. Open Restaurant routine. Add your own tasks or the editable starter routine. Set methods, product instructions, frequency and responsibility, then save the venue and routine.
  3. Use Daily records to log completed work, issues, maintenance visits or temperature observations. Enter the date, time and person. Saved activity entries remain in history; Add correction creates a linked amendment.
  4. Use Inspection checks for an internal review or council-visit follow-up. Record findings, action owners and due dates. Closing a finding requires a resolution, verifier and verification date.
  5. Load the date period you need and open Reports to print/save a PDF or download the records. Save open changes first; narrow the period if the records limit is reached.

Before you continue: These are private internal records for the signed-in account, not official health approvals or a complete food safety program. Use the venue’s validated procedures, retain required evidence, and confirm requirements with the local regulator. No messages, bookings or calendar reminders are sent automatically.

Plan a company or committee cleaning program

Use the private Strata & Building Management workspace for a property-wide routine and meeting record.

  1. Open Strata & Building Management from Home or the top workspace links, or go directly to /strata/workspace and sign in with your approved account. Choose New cleaning program.
  2. Enter the company or committee, site and program name. Add priorities, contacts and the next review date.
  3. Open Cleaning program. Add tasks with areas, frequency, first date, estimated duration and a responsible person. Example tasks are editable starting points.
  4. Choose 7 or 30 days in Schedule. Review any timing clashes for matching cleaner names or roles. Record discussion notes and owners in Committee & actions, and candidates in Cleaner shortlist.
  5. Choose Save program and wait for confirmation. Meeting view provides a presentation layout; Print / PDF creates a copy of the current plan, including notes and contact details.

Before you continue: Plans are private to your account and support meetings using one shared screen. They do not create bookings, send messages, verify cleaner credentials or provide simultaneous multi-user editing. The schedule is a forecast; enter confirmed work separately in the job calendar.

Register and get access

Start with your own account and cleaner profile.

  1. Open Register free / Sign in and choose Create account. Enter your email and password, then follow any email confirmation instructions.
  2. Sign in and save your cleaner profile on the job board. During the field test, Christopher approves full workspace access.
  3. Once approved, open the workspace. Use the same account on your phone and computer to access saved jobs.

Before you continue: The public area demo does not save a customer job. Your cleaner profile for trial access is separate from Business Profile, which supplies your quote details.

Create your first job

Record who the work is for, where it is and what is included.

  1. Choose New job on Home or in More. If you have unsaved work, save it before starting another job.
  2. Choose Indoor, Outdoor or Bond cleaning. Add a Job name, Customer and Job address.
  3. Select the Cleaning service. Record the agreed scope, access, existing damage, permanent marks and anything excluded.
  4. Use Save job. Keep the save confirmation, then continue to measurements or pricing.

Before you continue: Opening Help does not create a job, submit an offer or change your price. A fixed-price job may not need measured areas, but still needs a clear scope.

Measure areas and exclusions

Use dimensions, a known total or the available tracing tools.

  1. In Measure, choose Indoor or Outdoor and label the room or surface. For indoor work, choose Floor, Walls or Ceiling.
  2. Enter length and width, or enter Total area when you already know it. A known total replaces the dimensions; do not enter the same area twice.
  3. Enter Excluded area for parts you will not clean, then add the area to the job. If your known total is already net, leave exclusions at zero.
  4. Check Measured areas and the net m² summary. Review or edit saved boundaries and exclusions when necessary.
  5. For an exterior wall, use wall lengths and heights. A roof or ground outline is not the wall area.
Area example — illustrative values
Length × width
5 m × 4 m = 20 m²
Excluded area
2 m²
Net cleaning area
18 m²

Before you continue: Satellite, GPS, camera and photo measurements are estimates. Check the boundary, scale, units and site conditions before relying on them for a quote.

Add photos and site notes

Capture the condition, access and work to be quoted.

  1. Open Measure and scroll to Photos & site notes, or choose Photos in the current-job actions.
  2. Upload clear overview photos and close-ups of damage, staining, access and problem areas.
  3. Add notes about water, drainage, access, obstructions and what the customer has agreed to. Voice help can dictate into a selected text field where supported.
  4. Check that the photos are visible, review dictated words and choose Save job.

Before you continue: Site notes stay private in the quote workflow. Put customer-relevant scope and exclusions into the document fields. Completion reports can include site photos; review them before sharing.

Price the job and check profit

Review the customer price separately from what the work costs you.

  1. Choose Continue to quote or More → Quote. Use Price per m² and the Minimum charge, or set the area rate to zero and enter a Fixed job price.
  2. For a mixed hot/cold job, check both areas and rates. For furniture, read the Customer job price label: when GST is selected that field already includes it.
  3. Enter total person-hours for all cleaners, labour cost per hour and other job costs. Include setup and pack-down; travel time has its own allowance.
  4. Review the quote overview and expand the cost details. Check expected profit, margin warnings and any missing information.
  5. Check local pricing references and their dates. Decide your final price, then Save job & pricing.

Before you continue: A suggested price or green indicator is not a guarantee of profit or winning the job. Estimates depend on your inputs. Update labour and costs when the scope changes.

Allow for travel and costs

Include the journey both ways without counting it twice.

  1. Check the travel base in Business Profile and the job address. Review the route under Automatic estimate & travel.
  2. If entering travel manually, enter one-way distance and one-way time. The app doubles these for the return trip.
  3. Review Vehicle cost per km, Travel time per hour for the paid crew and Return-trip tolls / parking.
  4. Check the cost breakdown and save the job. If travel is unavailable, enter checked figures or calculate a route before relying on the profit estimate.
Return-trip example — illustrative values
Enter one-way distance
15 km
Enter one-way time
20 minutes
Calculated return trip
30 km · 40 minutes

Before you continue: Vehicle allowance already covers fuel and vehicle wear. Do not add fuel again if it is included there. On-site person-hours should exclude separately costed travel.

Set Airtasker or platform fees

Use the actual fee for this job and review the final offer.

  1. In Quote, find Platform percentage fee (optional). Enter the percentage shown on your platform offer screen.
  2. For a direct job with no platform percentage fee, use zero.
  3. Tick Increase customer price to cover the fee only when you want the app to raise the offer. Otherwise the deduction reduces what the job leaves you.
  4. Check the final customer total, dollar fee and profit before saving.

Before you continue: Do not also include the same fee under Other job costs. Review platform-specific charges separately if they are not covered by the percentage field.

Save, reopen and keep your work

Use a saved job as the record you can return to.

  1. Choose Save job or Save job & pricing and wait for the confirmation. Resolve any error before leaving the page.
  2. Open My jobs to find the saved record, then reopen it to check the details.
  3. Save again after changes to measurements, costs, photos, schedule or document details.
  4. Use Save as a new job only when you want a separate record. Read any discard warning before switching jobs.

Before you continue: An unsaved draft is a recovery copy on this browser, not a saved job across devices. Saving requires a working connection. Quick Start progress is also stored on this browser.

Prepare and export a quote

Review exactly what the customer will receive.

  1. In Quote, find Document to export and choose Customer quote.
  2. Open Business details & document settings. Check your details, reference, date and validity.
  3. Open Scope, exclusions & results. Enter the cleaning method, inclusions, limitations and payment or variation terms.
  4. Review the whole customer document and total. Save the job to retain those document details.
  5. Choose Print / save quote as PDF and select Save as PDF in your browser. Review the PDF before sending it.

Before you continue: Internal cost & profit is a private report; do not send it as the customer quote. Completion report with photos is for completed work. A quote is not an invoice.

Book work into the calendar

Save an agreed date so the job appears in your schedule.

  1. Open the job and find Calendar & assignment. Set the Job date and any agreed times.
  2. Choose Booked for an accepted booking, then save the job. Leave both times blank for an all-day booking.
  3. Open Calendar to check that the booking appears and review any clashes.
  4. Save changes to the job if the booking is moved or cancelled.

Before you continue: The calendar uses Brisbane time. Drafts and unscheduled quotes are not confirmed bookings. An entry in Workmate does not by itself notify a customer or sync another calendar.

Plan work and record condition

Connect the quote to a practical job plan and evidence.

  1. Open a saved job and choose Job Planning. Review the proposed method, surface, equipment and any missing facts.
  2. Use Condition to record and compare evidence of damage or marks. Use Checklist for the relevant cleaning workflow.
  3. Review Chemical Guide and product information for the intended surface before choosing a treatment.
  4. Save the job after updating the plan and evidence. Use a completion report to record the results.

Before you continue: Suggested methods and estimated productivity need your site assessment. Record scope changes and obtain customer approval before extra work.

Record income, costs and outcomes

Compare the estimate with what actually happened.

  1. Open the saved job in Quote and expand Record actual income & costs. Enter checked figures and save.
  2. Record the job outcome and stage accurately. A booked value is not automatically money received.
  3. Use Profit & Loss and Weekly results to review recorded jobs and estimates.
  4. Open GST & Tax for its separate records and planning tools. Check the amounts, dates and status of entries before relying on a total.

Before you continue: Estimated and actual figures serve different purposes. Review the labels and included costs; the dashboard is only as complete as your records.

Find the other Workmate tools

Use More to reach planning, business and learning features.

  1. Jobs & results: Job Review, Assigned Job Evaluation, Past jobs & bids, Weekly results, Profit & Loss, GST & Tax and Job Board.
  2. Plan your work: Job Planning, Group nearby jobs, Suburb opportunities and Repeat business.
  3. Business tools: Business Profile, Marketing, Flyer maker, Maintenance, Supplies & Orders, Chemical Guide and Shared Knowledge.
  4. Use More → Help & User Manual whenever you need these instructions. Support & training is available for optional one-to-one help.

Before you continue: Read each tool’s on-screen status before acting. An estimate, draft or prepared marketing item is not automatically a confirmed booking, payment or published campaign.

Fix common problems

Recover safely when a save, measurement or upload does not work.

  1. Cannot enter the workspace? Check the account you signed in with and whether your cleaner trial has been approved.
  2. Save failed? Keep the page open, check your connection and read the message. If newer edits remain, save again. Do not assume the record was saved.
  3. Location or camera unavailable? Check browser permission. Use manual measurements when the device cannot give a reliable result.
  4. Price looks wrong? Check net area, duplicated areas, the fixed price or area rate, GST label, platform fees and return travel.
  5. Cannot see a booking? Check its date and Booked stage, save it, then open Calendar. For more assistance, use Support & training.

Before you continue: Avoid clearing browser storage while unsaved drafts are your only copy. Reopen a saved job to verify it before discarding a draft.
